Program Coordinator, Strategic Marketing
Job Description Summary
The Program Coordinator, Strategic Marketing supports projects, functions and initiatives across tissue teams and marketing campaigns within the Strategic Marketing group. The primary focus of this role is the management and fulfilment of Change Control Requests or (CCRs) within Business Operations (BOP) and Marketing. As the “change owner” for their department, this person acts as the point person and approval authority for all CCRs within their purview, from the requirements gathering stage through submission.
Reporting to the Manager, Marketing Project Management, this individual works collaboratively with project managers, project coordinators and fellow change coordinators but will at times be working autonomously. The ideal candidate will also provide input and support for process development, including establishing and disseminating documentation, facilitating the completion of larger group tasks and streamlining stakeholder communication.
Duties and Responsibilities
Departmental Change Coordination
Acts as the point person and approval authority for CCRs within BOP and Marketing.
Works with change requestors within BOP and Marketing to submit CCRs.
Is the go-to person for questions regarding requirements for drafting and submitting CCRs.
Is accountable for reviewing and contributing to CCR criteria, including rationale, impacts, risk assessment, and supporting documentation.
Ensures timely completion of tasks related to CCRs in their purview.
Reviews each CCR for impact to their department.
Follows up on CCRs in Implementation that were submitted by BOP and MKT and troubleshoots any issues.
Work with department/teams to develop Effectiveness Check Plans.
Calls/chairs meetings with a broader cross-section of their department to review CCRs.
Tracks change trends submitted by and/or impacting BOP and MKT and develops work instructions or checklists for similar types of changes.
Identifies opportunities to improve CCR process efficiency.
Prepares, distributes and maintains documentation according to company standards and best practices.
Supports other Departmental Change Coordinators (DCCs) to help follow-up on any tasks assigned to their departments.
Works with backup DCC when unable to complete a change request.
Program and Project Coordination
Assists with coordination and execution of cross-departmental and cross-team initiatives.
Collaborates closely with project and product managers to support various programs for Strategic Marketing.
Maintains and administers project documentation, tracking sheets, etc.
Creates and transmits project progress reports on an as needed (e.g. daily, weekly, monthly) basis.
Schedules, minutes and occasionally chairs project/program team meetings, and follows up on action items.
Coordinates engagement with subject matter experts from across the organization to ensure relevant project and design information is being captured in project documentation and taken into account during the project lifecycle.
Works with the program team to compile and analyze the program’s performance metrics (KPIs).
Facilitates communication and ensures transparency / awareness of program progress with cross-functional project teams and internal stakeholders.
Demonstrates a ‘can do’ attitude and has the ability to work effectively and cooperatively with others.
Other duties as directed by management.
Minimum BSc degree in life sciences or a related field
One or more years’ of relevant work experience. Project coordination experience in the biotechnology / life sciences sector is an asset.
Excellent written and oral communication skills and ability to work within a multi-disciplinary team.
Experience developing and maintaining effective working relationships a team.
Demonstrated capacity to self-motivate.
Excellent organizational skills and diligent attention to detail.
Highly proficient in MS Office or Google Productivity; practical experience of database management and/or project management tools is an asset.
