Manager, Global Travel and Expenses
Job Description Summary
The Manager, Global Travel and Expenses within Corporate Affairs is responsible for leading and developing the corporate global travel and expenses program at STEMCELL and ensuring all company related global travels and expenses are in compliance with company rules and regulations. This role will continually work on improving the company’s global travel and expenses program and refining our global travel initiatives within STEMCELL. The position reports to the Managing Director, Corporate Affairs.
Duties & Responsibilities
Lead and manage all aspects of the corporate global travel and expense program in accordance to travel-related rules and regulations.
Develop and implement corporate global travel and expense program, policies and procedures to ensure expenses are maintained. Research industry travel and expense trends, and best practices for ongoing benchmarking.
Work in partnership with key Senior Management stakeholders to streamline global travel and expense policy and assess compliance to ensure alignment with the Company’s values.
Implement and oversee industry technology tools including the company’s online travel reservation and expense management system (Concur Travel & Expense), and traveler rewards system (Rocketrip).
Evaluate and recommend new tools, software and operating procedures to help increase efficiency, reduce cost and improve service to STEMCELL employees.
Oversee and deliver training sessions as needed to employees about the internal global travel and expense program (programs, policies, processes and systems).
Develop and manage regular reporting and analysis of travelers’ bookings and expenses to assess adherence to program policies and to identify opportunities for improvement.
Work closely with all departments to streamline conference travel processes and policies.
Oversee corporate travel rewards to maximize company savings.
Leverage group spend to negotiate preferred provider discount agreements and develop vendor relations. Preferred providers include air, hotel and car rental partnerships.
Accountable for all corporate hotel relationships, rate negotiations and annual contracts.
Maintain database of all travel related suppliers and contracts.
Oversee the corporate travel and expense section of the company's internal website.
Review and report on all travel expenses company-wide; work with department heads to generate travel budgets; identify cost reduction opportunities.
Chair weekly Corporate Travel & Expense Committee meeting comprised of cross-departmental representatives.
Responsible for all airline, visa and other travel-related rules and regulations and for keeping management and travelers informed of these changes.
In the event of travel advisories, airline or travel-related emergencies, make recommendations to the Senior Executives on how to proceed and deliver an agreed upon communication plan.
Maintain and promote positive employee relations that is ‘client-focused’ through responsiveness and clear communications (via phone, email, face-to-face).
Lead, manage and support the assigned team to maximize productivity and performance, including availability of expertise within the team for all planned activities, tasks and projects.
Build a positive workplace culture, ensuring the team (individually and collectively) are set-up for success for the delivery of all planned project goals, milestones and activities.
Recommend and implement team organizational structure and reporting changes; communicate change effectively and leads the impact of change(s) in consultation with the departmental senior leaders.
Build a talented workforce through effective hiring best practices to identify top talent. Recommend and resolve any staffing needs to ensure the team is scalable for growth (right people in the right role at the right time).
Lead people development initiatives to increase individual and team bench strength. Evaluate direct and indirect reports through regular one-on-one and team meetings. Ensure all performance reviews are conducted and documented (quarterly goals and annual reviews), providing ongoing quality developmental feedback; facilitate promotion and compensation recommendations in accordance with company policies and practices.
Engage with the departmental senior leaders to influence and negotiate in sensitive, complex and/or conflicting operational, management and staffing situations.
Responsible for maintaining a collaborative and supportive culture through effective conflict resolution, facilitation of team communication (top down, bottom up) and use of negotiation skills to reach consensus.
Undergraduate degree is preferred or equivalent experience with related training and education.
Minimum of 5+ years of active Travel Consultant experience or Corporate Travel experience.
Background in financial analysis beneficial.
Industry accreditation such as Corporate Travel Expert (CTE), or Global Travel Professional (GTP) preferred.
Thorough knowledge of the travel and expense industry, fares and domestic and international markets.
Knowledge of Concur and Rocketrip systems is preferred, as well as other leading industry travel tools.
Demonstrated experience leading, developing and coaching a high performing team.
Knowledge of global faring and ticketing procedures.
Proven ability to collaborate and manage relationships with external business partners.
Ability to work with all levels of staff, be customer-service oriented, technically savvy, and organized.
Problem solving ability with good business judgment.
Extensive knowledge of Excel, Word, PowerPoint, and Google suite.
Must be able to travel occasionally for training.
