Job Description Summary

The Scientific Program Coordinator is responsible for supporting the delivery of the goals, milestones and related operational activities to drive results forward for the assigned product line(s) within the program. Working closely with the scientific program leaders, this role provides program management support in planning, coordinating, documenting and executing the program’s tactical operations.

This role focuses on recommending process improvements and facilitation of communications to ensure effective program management for multiple cross-functional team projects within the program of varying scope, budget and strategic importance. This typically includes the use of standard project management methodologies.

Duties and Responsibilities

Program Coordination

  • Support program development to contribute towards the growth of product line(s) through effective program management and achievement of program goals. Report on the progress of the program goals.

  • Coordinate and administer the program’s day-to-day operational activities including compliance, process implementation, quality assurance and data management.

  • Work with the program leaders to prioritize and set the agenda items for recurring program/project team meetings including scheduling and recording of minutes; ensure that clear actions and decisions are documented, communicated and committed to meeting timelines

  • Identify, report and escalate roadblocks that may impede program performance and recommend solutions to the program leaders for resolution.  

  • Prepare, distribute and maintain program / project documentation according to company standards and best practices.

  • Support program leaders by preparing presentations and provide regular updates at various meetings as required.

  • Work with the program team to compile and analyze the program’s performance metrics (KPIs); execute departmental process improvements as needed.

  • Provide input in designing tools and templates for reporting to Corporate and R&D Executives.

  • Ensure quality data management and reporting: serve as a custodian for data quality that impacts the scientific direction for the program by managing, tracking and keeping all databases current related to product development, risk management and project cost savings.

  • Implement and maintain best practices for planning and tracking program/project priorities.

  • Facilitate communication and ensure transparency / awareness of program progress with cross-functional project teams and internal stakeholders.

  • In consultation with the Technical Transfer group, ensure all product development documentation and processes are in place prior to technical transfer.  

  • Perform other duties as required.

Project Management

  • Serve as a project resource throughout all phases of the project life-cycle including but not limited to: initial team formation; create and maintain project plans (objectives/objective statement, design, schedule, priorities, Gantt charts) and project documentation (presentations, reports, templates, data etc); report on project metrics; ensure timely completion of projects.

  • Collaborate and coordinate with the program leaders and scientists for the timely decision-making of the cross-functional project plans (scope, timelines, deliverables and budget), using standard project management tools.

  • Work closely with the relevant counterparts in other departments to prepare and disseminate project communications to the cross-functional teams and internal stakeholders as needed.

Qualifications

  • BSc degree in the relevant scientific field.

  • 1-3 years of program management experience in life sciences or biotechnology industry.

  • 1 year of project coordination experience is preferred.

  • Demonstrated track record of coordinating and implementing processes and/or projects.

  • Ability to plan and coordinate operational activities of a program; must be able to assess competing priorities and meet operational deadlines.

  • Proven organizational and time management skills to manage multiple projects and tasks with a high degree of accuracy.

  • Highly proficient with Microsoft Office and/or Google Productivity tools; practical experience of database management is an asset.    

  • Strong interpersonal skills to work collaboratively and gain cooperation of others across functional teams.

  • Excellent communication skills (verbal, written and presentation) both in one-on-one and in group settings.

  • Team orientated – ‘one-team’ behavior is a must.
