Job Description Summary

The Health and Safety Coordinator in the Facilities department is responsible for supporting STEMCELL’s Health and Safety program and its ongoing facilitation, maintenance and administration activities, in addition to fulfilling back-up reception services. This role will promote organizational health and safety performance within STEMCELL’s facilities. This is a maternity fixed term 18 month cover.

Duties and Responsibilities

Health and Safety Responsibilities

  • Maintain and track progress for ongoing projects and deliverables for the Safety team.

  • Update and maintain the Safety calendar.

  • Assist the preparation safety statistics and metrics.

  • Maintain the lab coat inventory and assist managing the 3rd party vendor relationship.

  • Prepare minutes of Health and Safety meetings and action statements, including distribution and following up.

  • Review and direct incoming email correspondence in the Safety inbox and bring them to the attention of the appropriate Safety team member.

  • Send out general safety related communications and correspondence to users.

  • Maintain, organize, and improve the electronic filing system for the Safety team.

  • Maintain the OHS intraWEB page.

  • Update Safety posters.

  • Facilitate closure of safety requests and actions as required.

  • Manages the ergonomic requests, equipment inventory and distributes equipment when required.

  • Arrange and enroll employees in training courses, including Transport of Dangerous Goods and Occupational First Aid.

  • Maintain corporate safety training database and records.

  • Distributes departmental safety reports as requested.

  • Liaise with safety vendors.

  • Coordinate first aid room inventory supplies as needed.

  • Maintain and update SDS’s database.

  • Performing other duties as assigned.

  • Participate in continuous improvement projects of the OHS program.

Reception

  • Support and backup reception as required.

  • Greet visitors and manage visitor/delivery logs.

  • Issue and track temporary employee ID badges.

  • Arrange mail and couriers; sort mail.

  • Print and post meeting rooms schedules.

  • Maintain inventories of paper, kitchen supplies, and office supplies.

  • Facilitate entry of routine third party service contractors at STEMCELL buildings.

  • Support the coordination of reception services at multiple sites.

  • Act as Evacuation Director when at W7th front desk.

Qualifications

  • A post-secondary diploma required. BSc preferred.
  • 2-6  years previous reception or administrative support or customer service experience.

  • The ideal candidate will have a general knowledge related to occupational health and safety.

  • Technically astute with advanced knowledge of MS Office and G Suite.

  • Excellent communication, superior typing skills combined with excellent organizational skills and ability to multi-task.

  • Demonstrated initiative and organizational skills, with keen attention to detail.

  • Exceptional time management skills accompanied by good judgment in order to prioritize, multi-task and work independently.

  • Creative problem solver and positive, can-do attitude.

  • Maintains an advanced degree of confidentiality along with excellent judgement and discretion.

  • Builds strong cross-functional relationships between other departments.
