Job Description Summary
The Executive Director is a member of the Malachite senior management team and plays a strategic role in the company. This role serves as an Executive Director to the assigned client team(s) and works with the shared services functions to provide a complete range of association management services to the client(s). This role is a one year contract with the possibility for an extension.
Duties and Responsibilities
Assists the Board to develop and communicate the organization’s vision.
Executes board-approved policies.
Works with the Board of Directors on governance policy issues by providing support and by initiating approved recommendations or actions.
Familiar with nonprofit board governance.
Acts as the key contact for client.
Recommends to the Board changes to policies and procedures that would improve the organization.
Directs the development of an Operating Plan outlining specific targets striving to meet and exceed established and new funding goals.
Implements and refreshes revenue generation strategies in established or traditional areas (i.e. dues, conference registrations, exhibitor sales, sponsorships, publications, advertising) and implements new strategies to gain additional market share in other areas.
Identifies current and future opportunities; implements plans to secure new income and revenue sources.
Implements innovative campaigns and the newest practices in revenue generation, including the leveraging of social media and “e” campaigns.
Works with a variety of contractors and suppliers; secures quality goods and services through formal procurement processes and negotiates contracts.
Develops positive relationships with industry partners and other stakeholders to enhance the positive reputation and profile of the client society
Represents the client society in public relations events, engaging with stakeholders and other partnership activities
Accountable to the Board of Directors and members for the association finances.
Provides financial budgets, reports and projections to Board on a regular, predictable basis.
Strategic Administration and Organizational Planning
Provides leadership in the identification and implementation of organizational planning.
Develops and implements operational plans, policies, and goals that further strategic objectives.
Analyzes and evaluates the effectiveness of all organization operations.
Leads association membership development.
Leads and develops association marketing and communications.
Develops and maintains organizational structure and effective personnel.
Establishes and executes major goals and objectives for the organization.
Maintains a competent and effective client team staff.
Provides leadership to client team(s) through effective objective setting, delegation, and communication.
Delegates authority and responsibility to client team.
Coordinates and directs members of client team.
Oversees the preparation of client society policies and procedures, outlining specific duties and area responsibilities.
Conducts performance evaluations for members of the client team.
Formulates and implements corrective action as needed.
Manages respectful and positive internal communication to build knowledge, trust and a common understanding of client team direction.
Identifies and evaluates the risks to the client. This includes risks to the organization’s people (leaders, team members, volunteers), property, finance, goodwill and image, and implements measures to control risks.
Ensures that the Board and team members understand the terms, conditions and limitations of the insurance coverage.
Identifies and evaluates the risks to Malachite Management Inc.
Active member of the MMI Senior Management Team
Revenue generation for MMI (A minimum of 20% of MMI Revenue comes from assigned clients)
Ensures MMI ROI per client is reasonable
Ensures that MMI client revenue per staff remains positive
Provide the highest standard of service to all Malachite clients.
Participate in and contribute to Malachite corporate planning events, including staff meetings and strategic planning events.
Contribute ideas and support initiatives to reach corporate goals.
Work with the Managing Director and other AEs to set and attain individual goals which align with corporate goals.
Support the entire Malachite team in day-to-day operations by providing vacation coverage for colleagues, sharing knowledge and experience, training new employees, providing assistance beyond the range of normal job duties at busy times (e.g., during conferences), etc.
Travel Requirements: Association Executives must be able to travel to national conferences, site visits for future conferences, and to represent clients at related national / international scientific and medical conferences. The amount of travel depends upon the assigned client.
Other general team responsibilities as required.
A minimum of 2 years of experience as an Executive Director or equivalent experience
MBA or CAE professional designation or equivalent
Experience leading and managing leaders
Strong oral, written and presentation skills.
Science education or background preferred
Knowledge of the nonprofit field
2 years in management in leadership roles
2 years of supervisory experience
Experience with strategic planning facilitation and implementation
Experience with business development / revenue generation (e.g. corporate sponsorships)
Demonstrated ability to apply sound business judgment related to conflict resolution
Project management for large initiatives (international medical/scientific conferences, scientific journals and publications)
Relationship development and networking
Governance (boards, committees, succession planning)
Legal contracts, negotiation and financial management
