Job Description Summary
Are you a seasoned Executive Assistant looking to join a purpose-driven organization committed to enabling life science research? This is a unique opportunity to support an executive member of our Technical Operations team. In this role, you will look after detailed and complex scheduling, project coordination, preparation of executive presentations, domestic and international travel arrangements and other related tasks.Job Description
Duties and Responsibilities
Manages complex and challenging calendars, including scheduling meetings with participants in multiple time zones
Organizes departmental meetings, quarterly planning, and local team social activities and events. Takes minutes at group meetings and distributes them in a timely manner
Reviews incoming email correspondence and materials directed to the Executive and flags items requiring attention. Drafts responses and other materials on behalf of the Executive for review and approval, including, executive presentations
Maintains & tracks progress toward an ongoing list of departmental projects and deliverables
Ensures travel and accommodation arrangements are made and expense accounts are prepared and submitted for the Executive
Qualifications
Typically requires a bachelor's degree with 2-6 years of relevant experience or master's with less than 4 years of experience or PHD with little to no work experience
Advanced knowledge of Google Suites, including Sheets, Slide Doc & Calendar and MS Office
Highly professional and adaptable with proven judgment and discretion.
Demonstrated initiative and organizational skills
