Program Associate, Marketing Change Control
Job Description SummaryThe Program Associate, Marketing Change Control supports projects, functions and initiatives within the Marketing and Business Operations (BOP) departments. Reporting to the Manager, Marketing Project Management, this individual works collaboratively with project managers and coordinators to execute functions on program and project levels and identify opportunities for improving efficiency within the department. This role will act as the point-person and approval authority for Change Control Requests (CCRs) within BOP and Marketing, fulfilling change control requests according to the company’s change control procedure. This individual will also provide input and support for program and process development, including establishing documentation and reporting needs, and stakeholder communication.
Duties and Responsibilities
Coordinates and executes cross-departmental and cross-team initiatives
Works with change requestors within BOP and Marketing to review and submit CCRs
Works with QA and cross-departmental change coordinator groups to review and approve submitted CCRs
Tracks change trends submitted by and/or impacting BOP and Marketing groups and develops work instructions or checklists for similar types of changes
Provides onboarding CCR trainings to new hires in BOP and Marketing and identifies training opportunities for change initiators to improve efficiency
Prepares, distributes and maintains documentation according to company standards and best practices
Supports program leaders by preparing presentations and provides regular updates at various meetings as required
Works with the program team to compile and analyze the program’s performance metrics (KPIs); executes departmental process improvements as needed
Facilitates communication and ensures transparency / awareness of program progress with cross-functional project teams and internal stakeholders
Seeks opportunities for increasing efficiencies in the processes, organization and communication within the program/project team and across the Marketing Organization
Working independently or with a Project Manager, ensures the assigned projects are delivered on time, on budget and within the approved scope and requirements.
Becomes familiar with and ensures STEMCELL’s project management methodology is adhered to, and/or tailored to specific project needs, throughout all phases of the project life cycle.
Captures lessons learned, applies them to the future projects and contributes to the Marketing Project Management team’s shared knowledge and the project management toolbox to be leveraged across the team.
Strives for consistency in using and promoting relevant project management tools and practices, represents the Marketing Project Management team by adhering to team charter, handbook and the team purpose, vision, values and norms.
Perform other duties as required.
Minimum BSc degree in life sciences with 2-3 years experience in business operations, or similar.
Experience in writing formal documentation including: status reports, progress presentations
Experience in developing and maintaining effective working relationships with team members and stakeholders
Ability to plan and coordinate operational activities of a program; must be able to assess competing priorities and meet operational deadlines.
Strong facilitator; good and oral communication skills and ability to work within a multidisciplinary team
Outstanding organizational skills, time management, planning capabilities
Thorough/ diligent attention to detail
Highly proficient with Microsoft Office, Google Productivity and Project Management tools
Practical experience with SAP, Power BI and/or database management is an asset.
