Job Description SummaryThe Executive Assistant is responsible for handling detailed and complex scheduling and meeting planning, project coordination, preparation of executive reports and providing other administrative coordination and support for the VP, Marketing. In addition, the Executive Assistant supports other Marketing Senior Managers on an ad hoc basis as required.
Duties and Responsibilities
Act as the first point of contact for the Vice President, Marketing, handling their daily calendar, providing support in prioritizing and handling conflicting priorities. Use judgement and knowledge of departmental issues, priorities and relationships to respond to requests for meetings by booking appointments or referring requests for meetings to departmental staff.
Scheduling meetings, taking meeting minutes and distributing them in a timely fashion.
Develop and maintain the department’s documentation and filing systems, ensure file management structure is current, organized and accurate. Maintain the departmental website with up-to-date information and resources.
Coordinate a variety of projects and/or programs related to departmental objectives and goals, including planning, maintaining, tracking, reporting, and following up on timelines and deliverables.
Drafting presentations and correspondence on behalf of the Vice President, Marketing for review and approval; this requires a broad knowledge of corporate and department operations.
Ensuring travel and accommodation arrangements are made and expense accounts are prepared and submitted for the Vice President, Marketing in an accurate and timely manner.
Assist with departmental training coordination, tracking and documents, as assigned.
Coordinate on-boarding (and departures) of employees (desk space, file access, etc).
Organize departmental meetings, quarterly planning, catering, and social activities and events.
Other duties and projects as assigned.
Sensitivity to confidential matters is required.
Undergraduate degree desirable, with 2 years of experience in an administrative role.
Advanced knowledge of Google Suite (Gmail, Google Docs and Sheets) and MS Office (Word, Excel, and PowerPoint).
Highly professional and adaptable with proven judgment and discretion.
Sensitivity to confidential matters is required.
Demonstrated initiative and organizational skills, with keen attention to detail.
Project or event planning experience is a significant asset.
Excellent oral and written communication skills.
Excellent computer skills are a distinct asset.
